Minutes

May 23, 2012

 

Chairman Tobias called the meeting to order promptly at 3:30p.m.  The Committee assembled at the Gilbane Building Company Offices, 119 North Maple Street, Sycamore, Illinois.  In addition to Chairman Tobias committee members present were Larry Anderson, Julia Fauci, Judge Kurt Klein and Maureen Josh.  Mr. Ken Andersen and Mr. John Hulseberg were absent.  Others present were Ray Bockman, County Administrator, Jim Scheffers, DeKalb County Facilities Management Director, Mary Supple, DeKalb County Board Office, Matt Meives of Dewberry and Mr. Gary Spivey with Gilbane Building Company.

It was moved by Maureen Josh, seconded by Judge Klein and carried unanimously to approve the minutes of the April 17, 2012 meeting of the committee.

Mr. Hulseberg arrived at 3:34p.m.

The committee discussed the following topics:

  • Mr. Spivey said that they are finishing Courtroom #1 on the new side and they will be starting demolition of old Courtroom #100 on first floor. They will be installing a temporary partition to close off that area.  
  • Right now there is Carpeting and millwork going in Courtroom #1.
  • The Marble in the main floor lobby has to go in and the Terrazzo is finished.
  • Outside work: tomorrow curb work and sidewalks start and the goal is to get the asphalt in by the end of next week.
  • On the second floor:  millwork has arrived and more will be coming in by the end of the week. Millwork will all be delivered by next week, except the benches.  Installation will start pretty quick then. 
  • Carpet work will begin on the second floor.  Hopes to have the conference rooms, courtroom #1, Judges Chambers, clerk room #139 completed on the first floor and the rest of the first floor closed off by June 4th.
  • Mr. Bockman asked if the Panels Insulation for the roof will be delivered soon?
  • Mr. Spivey said that it will be done next week.
  • Fabric panels will be here shortly.  Hopefully, all of this will be done in two weeks.
  • They are 305 days accident free on the project.
  • Ms. Fauci asked about the status of cleaning the outside of the courthouse. 
  • They have received 3 proposals for cleaning the outside initially.  Mr. Spivey said that he just wanted right now to get some ballpark figures.
  • The east side of the outside of the courthouse expansion has been cleaned and sealed.
  • Mr. Spivey said that he is still looking at opening day to be mid- July 2012.
  • Ms. Fauci said that she will need architectural renderings for the invitations for the Open House.
  • Ms. Josh asked if Dewberry or Gilbane pays for anything that the committee could handout to the public at the Open House like a paperweight or booklet? 
  • Mr. Meives said that he would check on it and get back to Ms. Josh.
  • Ms. Tobias, Ms. Fauci and Ms. Josh will meet again to work on the invitations for the Open House.
  • Contingency remaining:  Mr. Bockman said that out of the $500,000 in reserves for the contingency fees they have spent $340,000.00.  There is about $160,000 left in the fund.  He further stated that we will have more costs but for now that is what is remaining.

 

Following their discussion the Committee members toured the courthouse project to inspect progress since their last meeting.  The committee adjourned following the tour at approximately 4:30p.m.
